5 Biggest CRM Mistakes Coaches and Consultants Make

October 07, 20234 min read

I've had the privilege of working with numerous coaches and consultants to help them implement their sales and marketing strategies. And you know what that means? It means I've seen some common mistakes happening over and over again. To help you avoid these pitfalls, I've explained them below.

Mistake #5: Mailing List Stagnation

🚨 The mistake? One of the most common blunders I've witnessed is the neglect of continuing to grow and refresh your mailing list. It's like having a garden but forgetting to water it. Sure, you might have achieved some success, but your mailing list needs ongoing care.

📉 The result? Sales slowing down.

Let's debunk a myth here—it's not just about growing a large mailing list; it's about maintaining an engaged one. When you repeatedly run sales campaigns to the same list without refreshing it, you're bound to see diminishing returns. People get tired of seeing the same old thing.

💡The solution? Always be list building. Keep your mailing list fresh and engaged!

Mistake #4: Complicating Business Systems

🚨 The mistake? Overcomplicating your business systems is a pitfall that can trap even the savviest entrepreneurs. There are three common ways this happens:

  1. Too Much Tech: Some businesses go overboard with technology, adding numerous tools and apps that end up complicating processes rather than streamlining them.

  2. Organic Growth: Business systems can become overly complex when they've evolved organically over time, with no clear strategy or integration plan.

  3. Marketing Overload: Incorporating too many marketing and sales strategies can overwhelm your systems and confuse your customers.

📉 The result? Not only is it complicated to manage, but it's also confusing for your customers, with gaps in your systems where people can fall through the cracks.

💡The solution? Audit your business systems from the customers point of view at least once a year. Take the CRM Systems Scorecard Quiz to get some great recommendations.

Mistake #3: Insufficient Launch Promotion

🚨 The mistake? Ever had a fantastic product or service but found it met with crickets upon launch? This leads us to the next common misstep—neglecting proper launch promotion. Simply put, launching something new isn't a one-and-done deal. It needs time to marinate in the minds of your audience.

📉 The result? Crickets when you launch and significantly fewer sales that you had hoped.

💡The solution? A well-thought-out launch promotion plan.Give yourself 3-8 weeks for launch promotion plan. Your audience needs time to marinate on what you are offering and make a decision. This includes:

  • An Email Drip Campaign: Craft a series of emails that build excitement, address questions, and share success stories.

  • A Social Media Campaign: Create buzz with teaser posts, behind-the-scenes content, and countdowns.

  • Live Events: Host webinars, Q&A sessions, or live events to engage directly with your audience.

  • Other Promotional Tactics: Think blog posts, podcasts, or collaborations to spread the word.

Remember, promotion isn't just about shouting from the rooftops; it's about building a narrative, creating anticipation, and genuinely engaging your audience.

Mistake #2: Falling for the "Low-Cost" Trap

🚨 The mistake? Selling a membership for a very low price (well under $99 per month) that includes several group sessions, one on ones, trainings, etc. Cheaper doesn't always equate to more sales. Many entrepreneurs, especially those with smaller mailing lists or limited budgets, fall into this pitfall. They see influencers selling low-cost memberships and think it'll work for them too.

📉 The result? A membership program that requires 100+ members to be profitable, but you only sign up 10. Instead of being a moneymaker, it is a money pit. You give a lot of your time and getting paid pennies.

💡The solution? Focus on high-impact, higher cost membership programs that really demonstrate your value. It takes time and effort to market them effectively. You need to be realistic about your ability to attract clients, factoring in support and promotion time.

Mistake #1: Misaligned Marketing Strategies

🚨 The mistake? Last but not least, the grand finale—misaligned marketing efforts. This one's a heart-tugger. I've seen clients pour their time and money into marketing campaigns that don't align with their revenue sources.

📉 The result? Wasted time and money on marketing that doesn't covert your ideal client.

I've seen several coaches whose ideal client evolved. Maybe they originally targeted new business owners, but now they are targeting businesses that have been around for 3-5 years. The problem is that their marketing remained largely unchanged. This led to wasted effort and fewer sales.

💡The solution? Periodically evaluate where your revenue truly comes from, update your ideal client avatar, and ensure your marketing strategy aligns with your business's current direction.

Hope this helps you avoid these common CRM mistakes!
